Approval Process

Setting-up Approval on a App

  1. Select a Site
  2. Click App Name on site menu
  3. Click “App – Settings” from “More…” drop down menu located on top right corner of page
  4. Click “Approval Process” link in left hand menu
  5. Click “Settings” link located on top right corner of page
  6. Two types of approval are available
    1. App Level: To turn on Folder level approval process, click “On” button on “App Level” section. App level approval means that all the records in that App will have same approval process.
    2. Record Level: To turn on Record level approval process, click “On” button on “Record Level” section. Record level approval means that all the records can have their own approval process.

    Note: In case both App level and Record level process is “On”, then if defined Record level approval process will take precedence on App level approval process. That means you can have a default approval process in form of App level approval process. And then can define a different Record level approval process where required.

  7. Click “Apply” on “Approval Settings” dialog

To define approval process

  1. Select a Site
  2. Click App Name on site menu
  3. Click “App – Settings” from “More…” drop down menu located on top right corner of page
  4. Click “Approval Process” link in left hand menu
  5. Provide “Title”
  6. Provide “Assigned To”. This is the person who will approve the Record
  7. Advanced Settings: You can provide additional settings for approval as well. To do this click “Advanced Settings”. Provide “Additional Approval”. This will be considered as second approver. To provide a To Do list with approval:
    1. Click “New Item” next to “To Do”
    2. Provide To Do and click Save button next to To Do text box
    3. Repeat step i to ii to add multiple To Do
  8. Click “Apply”

Modify existing approval process

  1. Select a Site
  2. Click App Name on site menu
  3. Click “App – Settings” from “More…” drop down menu located on top right corner of page
  4. Click “Approval Process” link in left hand menu
  5. Click “Modify” button
  6. Each approval step is represented in form of a light blue card
  7. Following actions are available:
    Adding a New Step
    1. Click “New Step” located below approval cards
    2. Follow steps 5 to 8 in “To define approval process” section

    Editing an Existing Step
    1. Click “Edit” located top right section approval card
    2. Follow steps 5 to 8 in “To define approval process” section

    Removing Existing Step (only possible if more than one steps are there)
    1. Click delete icon located next to approval card
    2. Click “Confirm” button in the confirmation box to remove the approval step

Removing existing approval process

  1. Select a Site
  2. Click App Name on site menu
  3. Click “App – Settings” from “More…” drop down menu located on top right corner of page
  4. Click “Approval Process” link in left hand menu
  5. Click “Remove Approval” button
  6. Click “Confirm” button in the confirmation box to remove the approval process
